Al Ibraheem Online Academy (“we”, “us”, or “the academy”) provides live, one-to-one online Quran and Islamic studies classes. This Privacy Policy explains what information we collect through our website and student/teacher portal, how we use it, and the choices you have.
By using our website or enrolling in our classes, you agree to the collection and use of information as described in this policy.
2. Information We Collect
Information you provide to us — when you book a free trial class, apply to teach, or send us a message, we collect details such as:
- Student's full name and age, and parent/guardian name (trial bookings)
- Email address and WhatsApp/phone number
- Country and preferred class timings
- For teacher applicants: gender, subjects taught, and teaching experience
- Any message you send us through the contact form
Information collected through the student/teacher portal — student and teacher accounts are created by our academy staff, not through public self-registration. Once an account exists, the portal records:
- Class schedules, attendance, and session status
- Academic progress notes (e.g. Sabaq/Sabqi/Manzil recitation progress)
- Homework assignments and audio recordings submitted by students
- Fee invoices and payment status
- Leave/off-requests and makeup class credits
We do not collect payment card details — see “Payment Information” below.
3. Children's Privacy
Many of our students are children. We do not knowingly collect personal information directly from a child without the involvement of a parent or guardian. Trial classes are booked by a parent or guardian, who provides their own contact details alongside the student's name and age. Student portal accounts are created and managed by our staff on enrollment, and login credentials are shared with the parent/guardian, who oversees their child's use of the portal.
If you are a parent or guardian and believe your child has provided us with personal information outside of this process, please contact us and we will address it promptly.
4. How We Use Information
- To arrange and deliver trial and enrolled classes
- To match students with a suitable teacher and schedule
- To track attendance, academic progress, and homework
- To send account, class, and fee-related notifications by email and WhatsApp
- To respond to enquiries and teacher applications
- To improve our website and teaching operations
5. How We Share Information
We do not sell your personal information. We share information only with the service providers that help us run the academy, and only as needed for the purpose described:
- Resend — to deliver account, class-reminder, and fee-related emails.
- Cloudflare — to securely store homework audio recordings submitted through the portal.
- WhatsApp Business Platform (Meta) — to send class and account notifications by WhatsApp, where enabled.
- Zoom, Google Meet, or Microsoft Teams — live classes are conducted using a link your teacher shares through one of these third-party platforms. Joining a class means that platform's own privacy policy also applies to your use of it.
- Hosting and infrastructure providers — that host our website and database.
We may also disclose information if required by law, or to protect the rights, safety, or property of the academy, our students, or our teachers.
6. Payment Information
We do not process online card payments through this website. Class fees are invoiced by our staff and arranged directly with families. We do not collect or store card, bank account, or other payment credential details.
7. Data Retention
We keep account, attendance, academic progress, and fee records for as long as your account is active, and afterwards for as long as reasonably necessary for record-keeping, dispute resolution, and legal or accounting requirements. Trial booking and teacher application enquiries that don't lead to enrollment are retained only as long as needed to follow up, then removed periodically.
8. Data Security
We use reasonable technical and organizational measures to protect your information, including encrypted connections, access-controlled admin and teacher accounts, and private storage for homework recordings. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Cookies and Similar Technology
Our website and portal use only essential cookies/local storage needed to keep you signed in and to remember your light/dark appearance preference. We do not use advertising or third-party tracking cookies.
10. Your Choices and Rights
You can ask us to access, correct, or delete the personal information we hold about you or your child, subject to our need to retain certain records (e.g. fee history) for legal or accounting purposes. To make a request, contact us or message us on WhatsApp.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by an updated “Last updated” date at the top of this page.
